Most of you probably have already collected some experience in using Mobility Online as

Nevertheless, the journey on Mobility Online just has started and the tool will guide

you through your whole semester abroad.

For the tool to reach its full potential, it is necessary that you as a student regularly

miss any open tasks that need to be completed by you.

Let's have a look at the different kind of tasks and information you can find on Mobility

The workflow, the view you get after logging in, mirrors your exchange experience and shows

the individual steps in the exchange process.

The steps are in the most common chronological order.

Therefore, often you must complete the task at hand to unlock others.

In general, we differentiate between tasks that need to be fulfilled by students, in

this case marked by the orange arrows, and tasks that are fulfilled by the International

Usually, you also can identify tasks that need to be fulfilled by you by the action

There are different kinds of tasks marked by blue and red boxes.

Tasks with blue boxes can be completed in any order, so you for example can decide if

you first want to provide your bank details or fill in your emergency contacts.

Tasks with red boxes are mandatory and need to be completed to unlock new tasks.

The task to upload your learning agreement, for example, only unlocks once your learning

agreement has been approved by your coordinator.

There are also optional tasks that are only relevant for specific cases.

For example, if the learning agreement needs to be adapted or eco-friendly travel has been

There are four subsections in your Mobility Online workflow.

We will now have a quick look at the main tasks in each subsection.

In the Before Mobility subsection, the main tasks to complete are the learning agreement

and grant agreement.

At the end of this subsection, you will have to upload the letter of acceptance of your

host university.

The subsection Eco-Friendly Travel is only available if you have chosen to travel to

your host university by train or bus.

In this section, you will have the opportunity to upload your travel receipts, which then

can be approved or declined by the international office.

In the During Mobility subsection, you will have to provide your foreign address and upload

a final signed learning agreement.

In case you need to adapt your learning agreement from Before Mobility, you will have the possibility

You conclude your process on Mobility Online in the After Mobility subsection.

First, you have to fill in the experience report and confirm the submission of the report

in an additional task.

Once those tasks are completed, you will unlock the step to upload the transcript of records

from your exchange semester, which marks the final task in your workflow.

We will now have a look at an example workflow to see what steps need to be completed before

the grant agreement can be generated.

In the first step, you have to draft courses for your learning agreement and get them approved

by your coordinator.

Then you will have to decide if you want to get the grant for Eco-Friendly Travel, which

can be paid if the journeys from Switzerland to the host university and back are done by

This grant only applies to students who are also eligible for a SEMP grant.

You will also have to provide your bank details, fill in the emergency contacts and provide

your study abroad dates.

In the final step, you then have to confirm that all before mentioned tasks are completed.

Once those steps are done, the international office checks your information and calculates

your grant, which will then allow you to automatically generate your grant agreement and print it

The grant tasks are only relevant for students who receive a SEMP grant.

As you can see, the only remaining thing is for the international office to mark her application
